AI usage policy

Also known as: AI policy, Acceptable use policy for AI

An AI usage policy is an organization’s internal rule set for using AI tools — which tools are approved, which data may be entered, which tasks require review or disclosure, and who is accountable — so that employees can use AI productively without creating legal, security or quality risks.

In one sentence

AI usage policies explained: the internal rules on approved tools, data, review and disclosure that let teams use AI safely.

Example

A policy allows the company’s enterprise AI assistant for drafts, bans pasting customer data into consumer tools, and requires expert review of all safety content.

Why it matters on your learning path

  • Technical writers: Clarify which content may be processed with which tool — confidential specs and unreleased products especially.
  • Technical marketers: Cover image rights, disclosure and brand claims.
  • Technical project managers: Pair the policy with training; under the EU AI Act’s AI literacy duty, providers and deployers must take measures to support their staff’s AI literacy.
